Payment information, including the last four digits of your card and billing address, processed on our behalf by our payment provider; we do not store your full card details. Where relevant to a course, information you provide as part of an enrolment form, such as employer or sponsor details, or health and fitness information you choose to share ahead of a coaching session. Any correspondence between us, including emails, enrolment forms, and support requests.
If you’re purchasing a place on behalf of someone else, such as an employer sponsoring a student, we’ll also collect the relevant details of the person attending the course, which you confirm you have their permission to provide.
3. How We Use Your Information
We use your information to process your order and take payment, confirm your booking and send you course or session details, deliver the course, coaching, or product you’ve purchased, including issuing certificates where applicable, communicate with you about your booking, including changes to dates, venues, or availability, respond to enquiries and provide customer support, meet our legal and accounting obligations, including maintaining records of payments and overdue accounts, and, where you’ve opted in, send you marketing communications about future courses, coaching, or offers.
We rely on the following legal bases to process your data: performance of a contract (fulfilling the course, coaching, or product you’ve purchased), legal obligation (accounting and tax records), legitimate interests (customer support, fraud prevention, and improving our services), and consent (marketing communications, where applicable).
4. Marketing Communications
If you’ve opted in to hear from us, we may send you emails about new courses, coaching offers, or Pink Belt Kickboxing news. You can unsubscribe at any time using the link in any marketing email, or by contacting us directly. Opting out of marketing won’t affect service communications relating to a course or coaching package you’ve already purchased.
5. Who We Share Your Information With
We don’t sell your personal information. We share it only where necessary, with our payment processor to take and verify payment, with course tutors, assessors, or coaches directly involved in delivering what you’ve purchased, with awarding organisations where a course leads to an external qualification or certification, with IT and email service providers who support our website and communications, and with professional advisers, such as our accountant, where required. Any third party we share your data with is required to handle it securely and only for the purpose we’ve engaged them for.
We may also disclose your information where required by law, for example to comply with a legal obligation or to protect our rights.
6. Where Recurring Payments Apply
If you’ve set up a payment plan, your payment provider will hold the necessary card details to process each instalment on the agreed schedule. We do not hold or store your full card details ourselves. It’s your responsibility to keep us informed if your payment details change.
7. How Long We Keep Your Information
We keep your personal information for as long as necessary to deliver the course, coaching, or product you’ve purchased, and afterwards for as long as required to meet our legal, accounting, and tax obligations, typically 6 years from the end of the relevant tax year. Where you’ve enrolled on a course leading to a certification, we may retain a record of your certificate for longer to allow us to issue replacements or verify your qualification. If you’ve opted into marketing, we’ll keep your details until you unsubscribe or ask us to stop.
8. Your Rights
Under UK GDPR, you have the right to ask us for a copy of the personal information we hold about you, ask us to correct any information that’s inaccurate or incomplete, ask us to delete your information, where we don’t have a legal reason to keep it, ask us to restrict how we use your information, object to us using your information for certain purposes, including marketing, and ask us to provide your information in a portable format, or transfer it to another provider.
